SmartCoop SaaS ("SmartCoop", "we", "us") provides cooperative management software at www.smartcoopsaas.com. SmartCoop is based at Kilometer 16, Badagry Expressway, Lagos, Nigeria.
For any privacy question or request, contact us at hello@smartcoopsaas.com or 08160102974.
This policy explains how we handle personal information when you:
When you sign up or contact us, SmartCoop decides how that information is used, so we are the data controller.
For the records a cooperative keeps about its own members (for example savings, contributions, loans, withdrawals and share capital), the cooperative is the data controller and SmartCoop processes that information on the cooperative's behalf and on its instructions. If you are a member of a cooperative that uses SmartCoop, please contact your cooperative first about your records; we will support the cooperative in responding.
When a cooperative signs up: organization name and type, phone number, address, and the director's or manager's username, email address and password (stored only in hashed form), and an affiliate referral code if one is entered.
Records entered by a cooperative: member details and financial records the cooperative chooses to keep in SmartCoop, such as names, contact details, savings, contributions, loans, repayments, withdrawals, share capital and dividends.
Staff and auditor accounts: name, username, email, role, branch and activity needed to run the account securely.
Affiliate applications: full name, phone number, email, state, occupation or organization, and how you reach cooperatives. To prevent spam we store a one-way hash derived from your IP address, rather than the address itself.
Contact and demo requests: your name, organization, phone number, email and your message.
Payments: subscription payments are processed by Paystack. We receive confirmation of the payment, but we do not receive or store your full card details.
Technical information: our servers keep standard logs (such as IP address, browser type and pages requested) to keep the service running and secure.
We do not sell personal information.
We rely on a lawful basis tied to each purpose:
Essential cookie: when you log in, we use a session cookie to keep you signed in and protect forms against misuse. The service cannot work without it.
Your cookie choice: on our home page we ask whether you allow measurement cookies. When you click Accept or Decline, we store that choice in a small cookie (sc_consent) on your device for 12 months, so you are not asked again. It contains only your choice.
Advertising measurement (optional): only if you click Accept do we load Google Ads measurement, which uses cookies to tell us whether someone who clicked our advert went on to create an account. It loads only on our home page and on the "Account created" screen after sign-up. If you click Decline, or make no choice, it does not load anywhere. Our other website pages, the sign-up form, and our staff, administrator and member portal pages never load it. We do not send your name, email, phone number, organization name or referral code to Google, and we do not use this measurement for personalized advertising.
Changing your choice: you can change it at any time using the Cookie settings link at the bottom of our website, which opens the choice on our home page. If you change from Accept to Decline, measurement stops and we remove the Google Ads cookies our site can reach.
Google's use of data is described in Google's own privacy policy at policies.google.com/privacy.
We share information only as needed, with:
Affiliates do not see the identity or records of the cooperatives they refer.
Our primary server is provided by DigitalOcean and hosted in its lon1 region, outside Nigeria. Where personal information is processed outside Nigeria, we use the safeguards and lawful transfer mechanisms required by applicable Nigerian data protection law.
We use encrypted connections (HTTPS), store passwords only in hashed form, limit what each user can see by role and branch, keep an audit trail of sensitive administrative changes, and back up data daily. No system is perfectly secure, but we work to protect your information.
Under the Nigeria Data Protection Act 2023 you may ask to: access your personal information; correct it; delete it; restrict or object to its use; receive a copy of it; and withdraw consent at any time (for example, to measurement cookies).
To exercise your privacy rights or ask a privacy question, email hello@smartcoopsaas.com with the subject "Privacy Request". We may need to verify your identity before responding to a request. If you are not satisfied with our response, you may complain to the Nigeria Data Protection Commission (NDPC).
SmartCoop is a service for organizations and adults. It is not directed at children under 18.
We may update this policy from time to time. The effective date at the top shows when it was last changed. Significant changes will be highlighted on our website.
